Privacy, in plain language.

1. Who we are

StayTally is a rental record-keeping app created and operated by Josiah Safley. This policy covers the app, StayTally.app, and the StayTally services used to read documents and receive optional document-improvement examples.

The app is nearing the end of development. This policy describes its intended public experience and the document services already in use during testing. Downloads are not available yet. Planned features are identified below rather than described as available today.

2. The records you keep

Your property details, rental income, expenses, reservations, contacts, notes, saved documents, and preferences are stored on your device. What those records contain depends on what you enter or import. They may include names, addresses, financial amounts, and information about other people.

No account or subscription is required to use StayTally. You can enter and review records without internet. StayTally does not automatically upload your rental database or keep a cloud copy of it for you.

Choosing a camera or file-import action gives the app access to the material you select. It does not give StayTally permission to send your entire photo library or unrelated files. Only include information you are entitled to use.

3. When you add a document

When you add a document to a record, StayTally automatically starts reading its text and amounts to reduce typing. This is often called OCR. Adding the document is the action that starts processing; you do not press a separate Send button for ordinary reading.

A copy of the document or the pages prepared by the app is sent over an encrypted HTTPS connection to a server operated for StayTally. This requires internet. The document may contain names, addresses, account numbers, or anything else printed on its pages. You can enter details manually instead.

Ordinary document reading does not create a retained document collection on our server. The server processes the document temporarily and returns the results. Temporary processing copies are discarded; the saved document and your record remain on your device. Ordinary uploads are not kept as training examples.

You review the suggested information and correct mistakes before saving. Reading a document and giving permission to retain it for improvement are two separate things.

4. Optional help improving the reader

If you correct something the reader got wrong or fill in something it missed, StayTally may ask whether you want to share that example. Sharing is optional, and saying no does not stop you saving your record.

Always send applies to eligible corrections you save after opting in. It does not upload every document, your past library, or unrelated rental records. It does not give permission for bug reports or suggestions.

A shared example can contain the complete source document or the image copy described in the app, the reader’s result, the values you corrected, and information about which reading tools were used. It also contains reference codes that help match the correction to the right document and prevent duplicate submissions. It is not an anonymous submission: personal information may be visible on the document itself.

Josiah, as the operator, can review the examples you agree to share. Their only purpose is to improve StayTally’s document reader, including reviewing mistakes and preparing training examples. A submitted correction is not automatically treated as a verified training answer. We do not sell these documents, use them for advertising, or make them public.

Shared examples are encrypted in transit and in the improvement store. Documents, corrections, and associated review material are retained for no more than 30 days from receipt, then permanently deleted from that store. Reviewing or retrying an example does not restart its retention period.

5. Your sharing and deletion controls

In the app’s document-improvement settings, you can change your sharing preference or request deletion of examples sent by that installation. Turning off future sharing alone does not remove examples already sent; use the deletion option for those. A deletion request needs a working connection and must complete successfully.

The app automatically creates a random installation code and a private credential so it can manage its own submissions. You do not register an account, approve each device, or manage a key yourself. This code is not your name or a hardware identifier. The server keeps the information needed to recognize that installation separately from the documents.

Clearing app data or reinstalling can remove the credentials needed to manage earlier submissions. A normal record backup does not transfer those credentials. Delete submitted examples before doing that if you want them removed sooner; otherwise their normal 30-day expiry still applies.

Brief submission records containing reference codes, document verification codes, dates, and deletion status can remain until one day after an example’s original expiry to prevent duplicate or replayed submissions. These records do not contain the document or corrected values. Installation access records are separate and can remain while that installation’s service access is enabled.

6. Backups, exports, and other apps

You decide when to create a backup or export, which available content to include, and where to save or share it. StayTally does not automatically send these files to us. If you select cloud storage, email, a shared folder, or another app, that provider receives the file under its own privacy terms.

Tax and accountant bundles can include detailed financial tables and the supporting documents you select. These bundles are not encrypted. Share them only with recipients and services you trust.

Backup password protection is a choice. A password-protected backup is encrypted with the password you choose. A backup saved without a password is not password-encrypted; anyone who can access that file may be able to read its contents. Store either kind somewhere you trust.

We cannot recover a forgotten backup password. A forgotten password does not lock the records still available in your app, but it can prevent restoring that backup. Reports are for reading and sharing; they are not a replacement for a restorable backup.

Local records remain until you remove them through the app or device controls. Removing something from the app does not remove copies in exports, backups, screenshots, other apps, or recipients’ storage. You are responsible for those separate copies. We cannot recover device records that you have lost without a usable backup.

7. Bug reports and suggestions

A separate feature for reporting bugs and suggesting improvements is planned. It will send information only when you choose to submit it. Permission to share document corrections will not authorize these reports or automatically attach financial records.

Before that feature becomes available, we will explain what a report includes, whether a suggestion can be published, and its retention and deletion choices. The 30-day document-example policy is not a promise about a future bug-report service.

8. Website visits and service information

The current website has no accounts, signup forms, advertising trackers, analytics scripts, third-party video players, or cookies set by the page code. Fonts and images are served with the site. Visiting it does not give us access to your app records.

The example accountant report uses scripts served with this site for navigation, filtering, and CSV downloads. Its temporary view preferences last only while the page is open; they are not stored in browser storage or sent to us. The example does not accept uploaded documents or connect to your app.

To deliver a page or service response, our systems receive connection information such as an IP address, requested address, and time. Website, firewall, and security logs may also record browser information, response status, or the referring page to help operate the service and investigate problems. These connection records are different from stored documents.

The document-service gateway and document-improvement service are configured without routine access or document-content logs. That does not mean a request is anonymous or that the surrounding hosting and firewall systems receive no connection information. The website and infrastructure log-retention settings are still being finalized for public release.

There is no automatic advertising or behavioral-tracking upload in the app. A service request follows an action you take, such as adding a document, or permission you have given, such as sharing future eligible corrections.

9. How information is protected and used

We use the information sent to StayTally to carry out the requested document service, improve the reader when you permit it, manage your submissions, and protect the services from misuse. We do not sell your rental records or use them to target advertising.

Public document-service connections use HTTPS. Shared improvement examples have encrypted storage and restricted access. Your device lock, app privacy controls, and the security of your chosen backup destination also matter. No app, connection, or storage system can promise perfect security.

Documents sent to StayTally are processed on servers operated for StayTally. They are not sent to an advertising service or a third-party AI service for training. Information may need to be disclosed where legally required; that does not give us permission to use it for unrelated marketing.

StayTally is designed for adults managing rental records, not for children. Documents can still include another person’s details, so check them before choosing to share an improvement example.

10. Changes to this policy

We will update this page when data practices change and revise the date above. Features such as desktop connections, video embeds, and product feedback will have their data handling explained before they are offered. New optional uses of your documents will require the relevant permission; a policy update does not silently opt you in.

11. Who is responsible

Josiah Safley is responsible for StayTally and its privacy practices.

A public privacy contact address will be added here before the app is released for download. No public email address is available yet. During testing, use the app’s document-improvement settings to change sharing or delete submitted examples. This website has no form for submitting documents or privacy requests.
